Home: Trip Policies
- Anyone participating in a Champaign Ski Club, Inc. trip must be a member
of the Club.
- All trip participants must be signed up and paid in advance. This includes
members wanting only lift tickets, lodging and/or partial participation in
club activities.
- All participants in club trips are liable for their own actions, personal
losses, injuries and/or damages sustained on said trips, including but not
limited to transportation in connection therewith. The Champaign Ski Club,
Inc., its officers or members will not be liable for any of the above
mentioned.
- No person under the age of 18 may participate in club trips unless
accompanied by his/her parent or adult guardian. A junior member must have
written permission from his/her legal guardian before applying for
membership as well as for attendance on each individual trip. In addition,
the legal guardian must supply the individual trip leader with a signed
statement, issuing temporary guardianship to a Club member, and medical
release forms for this junior member.
- Consumption of alcoholic beverages by minors or the use of illegal drugs
in any Club activity will not be tolerated and may be subject to
disciplinary action (see policy 16).
- Actions by club members that result in the destruction of private or
public property or the general disruption of any Club activity will not be
tolerated and may be subject to disciplinary action (see policy 16).
- Any problems, objections, or questions that may arise on a trip should be
addressed to the trip leader who will handle them. If you feel the matter
was not appropriately dealt with, a written statement should be sent to the
Board.
- Trip sign-ups will be held by deposit only: $35 minimum on one-day
and weekend trips and $100 minimum on weeklong trips (required deposits
may be higher). A completed trip application form must accompany deposits.
Individuals may be required to make additional scheduled payments as
set forth by the trip leader(s) and/or trip coordinator(s), or will
be subject to forfeiture of their place on the trip.
- Deposit, payment schedules, and deadline dates will be set by the trip
leader(s) and coordinator(s). Spaces may be forfeited if payment deadlines
are not met.
- A waiting list of members will be established on a first-come/first-served
basis for all trips on which sign-up exceeds maximum occupancy. The
designated deposit and a completed trip application form are required
to hold a name on the wait list for any trip. This money will not be
deposited. The waiting list will be used in order of sign-up to fill
vacancies.
- Cancellation and refund policies:
CANCELLED BY THE CLUB, FOR ANY REASON:
Money will be refunded to the participants proportionately and only
to the extent that such funds are recoverable from commitments. The
Board may elect to award a full refund on a case-by-case basis.
CANCELLED BY INDIVIDUAL/FAMILY:
Subject to a $25 penalty fee per person to a maximum of $50 per membership,
and will be entitled to refunds of recoverable money only, after the trip
returns and has been finalized with the trip treasurer. Exceptions must be
approved by the Board.
- Trip leader will make room assignments for all trips.
- Transportation to the point of departure for bus trips is the
responsibility of the individual. Departure times, places, and parking
arrangements will be set and announced by the trip leader(s) and/or the trip
coordinator(s).
- In the event the trip becomes snowbound or delayed for any reason, either
on the road or at the resort, only those expenses listed as part of the trip
will be the responsibility of the Club. Additional food and lodging will be
the responsibility of each individual.
- Any additional room charges, i.e., telephone calls, room service, loss of
keys, etc., must be paid for by the individual responsible before the trip
returns or they will be charged for these upon return.
- The trip leader is responsible for the smooth operation of his/her trip
and may take any action he/she feels necessary to achieve that goal,
including the denial of certain privileges to any participants while on the
trip. During Club activities, the event leader or an elected Board member
may deny any member their continued presence at that event. Cases in which
disciplinary action is taken must be brought to the attention of the Board.
The Board, based on a majority vote, shall have the right to deny a member's
attendance at future Club trips or expel that member from the Club.
- In the event a circumstance should arise not covered by these trip
policies, a decision of the Board shall be final.
